Find the cost attached to the task you need

Read what the free version actually includes. An app may let you create a document but charge to export it in the format you need. It may offer a trial whose renewal is separate from the download price. Look at the current plan details inside the official listing or provider's site.

Try a small sample before importing a whole collection. Complete the action you care about, including saving, exporting, or sharing the result. A polished welcome screen tells you little about the limit you will encounter at the end of the task.

Check where billing occurs if you do start a trial. A subscription managed by an app store may need to be canceled there, while one bought directly may use the provider's account page. Save the confirmation and the renewal date rather than assuming that deleting the app ends the arrangement.

Read the data requests in context

Look at the permissions and account information requested. Ask why each is needed for the feature you want. A local calculator and a shared document service have different reasons to ask for network access or an account; the useful question is whether the request matches the function.

Read the provider's privacy information for what happens to uploaded content, how long it is retained, and how to delete an account or export data. If the explanation is unclear and the files are sensitive, choose a tool with a data arrangement you can understand.

Advertising or analytics does not automatically make an app unsuitable, but it should be visible in your decision. Avoid granting broad access merely to get through setup faster. Where the system offers narrower permissions, try the least access that supports the intended task.

Test the exit while you have nothing to lose

Create a sample project and export it. Open the export in another suitable app and check what survived: text, images, attachments, links, or editable structure. A PDF may preserve appearance while losing the ability to continue editing in the same way.

Find out what happens if the account is inactive, the free tier changes, or the app is discontinued. You do not need to predict the future to keep ordinary local copies of important work. A tool that makes export straightforward gives you more flexibility.

If the app proves useful and the terms fit your needs, the free version can be a reasonable choice. If it only works by locking away the result or collecting information unrelated to your task, the lack of an upfront charge may not be the saving it first appeared to be.
