Save the evidence, not just the email link

Keep the receipt or invoice as a readable file where possible, along with the order confirmation. A link back to an account page can change or become inaccessible. Open the saved file and check that it includes the merchant, date, item, amount, and order or transaction reference.

For a paper receipt, scan or photograph it clearly before the print fades. Capture the whole receipt and inspect the smallest text. Keep the original when the seller's return or warranty process requires it, or when that requirement is unclear.

Name the file so a search can find it by product or merchant. A pattern such as date_merchant_product_receipt is enough. Avoid putting a complete card number or other unnecessary sensitive information into the filename.

Keep delivery confirmation and return correspondence with the same purchase if they become relevant. The date an item arrived may matter to the seller's process, and a receipt alone may not show it.

Make the return information easy to act on

Record the return deadline from the seller's actual terms or confirmation rather than estimating it from memory. Include any condition that affects the process, such as keeping accessories or obtaining a return authorization. Do not assume every product from the same marketplace follows identical terms.

For an item with several parts, keep a short list or photograph of what arrived. This is especially useful for a dock, charger set, or device with small adapters. Store packaging for as long as it remains useful under the seller's conditions and your available space.

When a return is started, add the case number, shipping label, and proof of dispatch to the record. Check the status until the matter is resolved instead of treating a posted parcel as the end of the process.

Limit access if the folder contains personal details. A shared household purchase folder can be convenient, but it does not need to include every unrelated financial record. Keep the receipt record narrow enough that you can share the necessary evidence without exposing the rest of your files.
