Record the condition that could be disputed

Photograph the closed lid, underside, corners and hinge area in clear light. Take a separate image of any existing scratch or crack, with enough surrounding detail to show where it is. A useful photograph establishes condition rather than merely proving that a laptop was present.

Capture the serial number for your own records, but avoid publishing it in an open forum. Keep it with the service reference, receipt and the date the device was handed over. If accessories are included in the repair shipment, photograph and list them too.

For an intermittent problem, a short video may communicate more than a still image. Show the action that triggers the fault and the result, such as a display that changes when the lid moves. Do not repeatedly stress a damaged hinge or connector just to produce stronger evidence.

Protect the information on the screen

Close personal documents and hide notifications before taking screenshots or video. Crop out account names, email addresses and unrelated files when they are not needed to explain the issue. If an error code matters, capture it clearly and also copy it into your written description.

Back up important files before the appointment and confirm the repair provider's data policy. A hardware repair may involve a reset or replacement storage. Photographs of the computer do not protect its contents.

Ask what access the technician requires and use the provider's recommended preparation process. Do not send a main account password casually in a message. If a temporary test account or another supported arrangement is appropriate, agree on it in advance.

Keep the handover simple

Write a short fault description with the steps that reproduce it, how often it happens and what you have already tried. Attach only the few images that support that account. A technician can use a precise sequence more readily than a long list of guesses.

Photograph the packed device if shipping is required, following the provider's packaging instructions. Keep the tracking details and a record of what was sent.

When the laptop returns, compare its condition with the earlier photographs and test the reported fault before restoring your full setup. Keep the service paperwork with the original record so any follow-up begins with a clear history.
